Zoom integration guide
Connect Zoom so every appointment you book comes with a meeting link.
What this integration does
Stack Space Solutions is a CRM and scheduling platform for local service businesses. When you connect Zoom, appointments booked in Stack Space automatically get a Zoom meeting:
- Booking creates a meeting. When a customer books an appointment — through your scheduling page or from inside your CRM calendar — Stack Space creates a Zoom meeting on your connected account and attaches the join link to that appointment.
- The customer gets the link. The join link is included in the booking confirmation sent to your customer.
- Cancelling removes the meeting. If the appointment is cancelled in Stack Space, the matching Zoom meeting is deleted so nothing orphaned is left on your calendar.
Each business connects its own Zoom account. Your Zoom data is never shared with other Stack Space customers.
What permissions we request, and why
- View your user information (
user:read) — we read the email address on your Zoom account so the app can show you which Zoom account is connected. - Create and delete meetings (
meeting:write) — we create a meeting when an appointment is booked, and delete it if that appointment is cancelled.
We do not request or access meeting content, cloud recordings, participant lists, chat messages, or account administration.
How to add the integration
- Sign in to Stack Space Solutions at app.stackspacesolutions.com.
- Go to Settings → Integrations.
- Find the Zoom card and click Connect.
- You are sent to Zoom’s sign-in and consent screen. Sign in with the Zoom account you want meetings created on, review the two permissions listed above, and click Allow.
- Zoom returns you to Stack Space. The Zoom card now shows Connected along with the email address of the linked account.
You need permission to create meetings on the Zoom account you connect. If you are part of a company Zoom account whose administrator restricts third-party apps, your Zoom admin may need to approve Stack Space first.
How to use it
Booking an appointment
- Once Zoom is connected, open Calendar in Stack Space and create an appointment, or let a customer book through your public scheduling page.
- Stack Space creates the Zoom meeting at the appointment time and stores the join link on the appointment.
- Open the appointment to see and copy the Zoom join link. The customer receives the same link in their confirmation.
Cancelling
Cancel the appointment in Stack Space and the matching Zoom meeting is deleted automatically. You do not need to remove it in Zoom yourself.
How to remove the integration
You can disconnect from either side. Both fully revoke our access.
From Stack Space (recommended)
- Go to Settings → Integrations.
- On the Zoom card, click Disconnect.
- The stored Zoom access token, refresh token, and connected account email are deleted immediately. New appointments stop getting Zoom links.
From Zoom
- Sign in to the Zoom App Marketplace and open Manage → Added Apps.
- Find Stack Space Solutions and click Remove.
- Zoom notifies us that you uninstalled, and we delete the stored credentials for your account automatically.
Meetings that were already created stay in your Zoom account after you disconnect — removing the integration does not cancel meetings that are already scheduled. Delete those in Zoom if you no longer want them.
How your data is handled
- Your Zoom access token, refresh token, and connected account email are encrypted at rest (AES-256-GCM) and are never exposed to the browser.
- The meeting ID and join link are stored on the appointment they belong to.
- Zoom data is never sold, never shared with third parties for their own purposes, and never used to train AI models.
- Disconnecting deletes the stored credentials. Full detail is in our Privacy Policy.
Troubleshooting
- The card says “not connected” after I clicked Allow. Make sure you completed the Zoom consent screen and were returned to Stack Space. Try Connect again; if it keeps failing, email us.
- An appointment has no Zoom link. Confirm the Zoom card shows Connected, and that the appointment was created after you connected. Appointments booked before connecting do not get links retroactively.
- My Zoom admin blocked the app. Ask your Zoom account administrator to approve Stack Space Solutions in the Zoom App Marketplace.
